UEFA EURO 2024 Qualifying Draw – Become a Volunteer
Identity of the Data Controller You, as a volunteer at the UEFA EURO 2024 Qualifying Draw, are about to provide additional personal data to the EURO 2024 GmbH having its registered office at Otto-Fleck-Schneise 6, 60528, Frankfurt am Main, Germany, being a joint venture company established by UEFA Events SA and DFB EURO GmbH to act as the local entity implementing certain tasks in the planning, preparation, staging, organisation and dismantling of the UEFA EURO 2024™ due to be held at ten host cities throughout Germany from 14 June until 14 July 2024, such as the preparation and staging of the Qualifying Draw (the ‘Event’), acting as data controller, on the Volunteer Portal operated by Union des Associations Européennes de Football (UEFA), Route de Genève 46, 1260 Nyon 2, Switzerland, acting as data processor. The Volunteer Portal is provided by Rosterfy Ltd, 10 John Street, London, WC1N 2EB, United Kingdom. Which personal data is collected? The following additional personal data about you will be processed by the EURO 2024 GmbH: identifying information (identification document type, passport/national IC card number, identification document expiry date, country of birth), physical characteristic (jersey size), emergency contact information, special dietary restrictions (optional). How are these data processed and why? Your personal data are processed by the EURO 2024 GmbH on the basis that such processing is necessary pursuant to Article 6 (1) lit. b of the GDPR for the performance of the Volunteer Terms and Conditions, in particular:
- to assign and deploy the volunteers;
- to perform background checks (if necessary) and issue volunteers’ accreditations;
- to provide uniforms;
- to provide transportation services to volunteers, if needed;
- to reward volunteers at the end of the Event;
- to communicate with volunteers in the context of the Event;
- to provide volunteers with specific training in accordance to the respective role.
The legal basis for the processing of the data provided by you on an optional basis is Article 6 (1) lit. a GDPR. Who are the recipients of the personal data? You acknowledge that the additional personal data you are submitting will be available to UEFA, acting as data processor as operator for the Volunteer Portal, Rosterfy Ltd as the technical provider of the Volunteer Portal, and EURO 2024 GmbH, including its subsidiaries and any third party appointed by the Host Association to assist in the organisation of the volunteer programme of the Event (but only in this context). Your identifying information and contact information will be transferred to UEFA, acting as an independent contractor and independent controller in this scope, for the purpose of processing your application for an accreditation, issuing the accreditation, and carrying out any access check procedure or other necessary background screening. In this regard, certain personal data may be further transferred to any relevant public authorities, based on legal provisions and obligations, for the purpose of safety, security and/or sanitary measures related to the Event, in particular for the purposes of any administrative process or request from the relevant authorities related to the performance of activities on their soil (including background screening of the volunteers by the relevant authorities). Further information regarding the data processing by UEFA for the purpose of processing your application for an accreditation, issuing the accreditation, and carrying out any access check procedure or other necessary background screening by the responsible security authorities is contained in UEFA’s respective Privacy Notification, which will be provided to you during the accreditation process. How to assert your rights? You can access your personal data directly in your personal account on the Volunteer Portal. You can update and delete your personal data by contacting us at: email@example.com or firstname.lastname@example.org. If you have any question about your personal data after having submitted your application, please contact us at: email@example.com. In addition, insofar as we act as the controller process personal data, you as the data subject have certain rights under Chapter III of the GDPR, depending on the legal basis and the purpose of the processing, in particular the right of access (Article 15 of the GDPR) and the rights to rectification (Article 16 of the GDPR), erasure (Article 17 of the GDPR), restriction of processing (Article 18 of the GDPR), and data portability (Article 20 of the GDPR), as well as the right to object (Article 21 of the GDPR). If the personal data is processed with your consent, you have the right to withdraw this consent under Article 7 (3) of the GDPR. You also have the right to file a complaint to the responsible data protection supervisory authority regarding the processing of your personal data under datenschutz.hessen.de (Article 77 of the GDPR). How long are your personal data stored? All personal data will be deleted if it is no longer required for the purposes it was collected for unless you have explicitly consented to a longer period of storage or the EURO 2024 GmbH is entitled due to legitimate interest or obliged to store the data for a longer period due to legal requirements. EURO 2024 GmbH will store your personal data provided by you as a volunteer for the Event until at least the end of the staging of UEFA EURO 2024™ (due to be held at ten host cities throughout Germany from 14 June until 14 July 2024). Due to your interest in participating in the Event as a volunteer, EURO 2024 GmbH has alegitimate interest in retaining your personal data for further events in connection with the UEFA EURO 2024™ or the UEFA EURO 2024™ itself (Article 6 (1) lit. f of the GDPR). The personal data transferred to UEFA and any relevant public authorities for accreditation, any access check procedure or other necessary background screening are subject to their own privacy policies and retention rules (please see above). Additional information We reserve the right to adjust this Privacy Notification at any point in time to ensure that it is in line with the current legal requirements at all times, or in order to accommodate changes in the volunteer process or other processes. In this case, the new Privacy Notification applies to any later performance of the Volunteer Terms and Conditions by a volunteer.
